Five printable display styles

The floor plan and the entrance sign are two different documents built from one set of table assignments. Each preview below is rendered from the same sample chart, at true 18 × 24 in board proportions (8.5 × 11 in for the card sheet), so you can compare formats on identical data instead of on someone else's wedding photo.

Escort Card Sheet

No board at all: a letter sheet of cut-out cards, one guest per card with their table. Cards get laid out alphabetically on their own table at the entrance, which spreads the queue instead of concentrating it at one sign.

Two things decide this for most couples, and neither is taste. Guest count comes first: past about 75 people, a by-table board makes guests read ten blocks looking for their own name, and that queue lands exactly when cocktail hour ends — the full argument, with the queue maths, is on alphabetical vs by table. Surface comes second: a serif at poster scale fills in on textured board and reads beautifully on a mirror, while acrylic and white foamboard want the minimal sans. Whichever style you print, build the assignments first. The display is a view of the data, and the data changes twice more before the wedding — every couple who hand-letters a mirror before the final RSVPs does it twice.

What a template can and cannot decide for you

A template settles the room: how many tables, what shape, how far apart, where the head table faces. That is genuinely most of the work, and it is the part that has a right answer, because it is set by your venue's floor plan and by table capacities that do not negotiate. What no template can settle is who sits with whom. That is four decisions — where you two sit, where parents sit, how you handle divorce and feuds, and how you group everyone else — and they are sequenced in the step-by-step guide.

One piece of practical advice that saves a whole evening: build the room as soon as your venue confirms the floor plan, months before you have a final guest list. The tables will not change even though the names will. When the RSVP deadline passes, paste the confirmed list in, auto-seat everyone, and spend your one careful evening on the deliberate placements rather than on rebuilding the room. Which display style should we print — alphabetical or by table?

Alphabetical above roughly 75 guests, by-table below it. Alphabetical is faster to scan for a big crowd because a guest jumps straight to their own letter; by-table keeps arriving groups together and doubles as the coordinator's checklist. Escort cards sidestep the choice entirely by spreading the queue across a card table instead of one sign.

How many names fit on one 18×24 inch seating chart board?

At 24pt — the smallest type that stays readable from about four feet — this renderer fits 29 rows per column, so 58 names in two columns and 87 in three. Past that you need a larger board or a second panel, which is the real reason big weddings end up splitting the display A–M and N–Z.

Are the templates really printable?

Yes. Every template exports as a letter-size PDF with your names, venue and date in the title block and per-table seat counts — the version your caterer and coordinator work from. For the entrance display, export the PNG and have a print shop enlarge it to 18×24 or 24×36.

Can we get a blank template to write names on by hand?

Yes — every layout has a blank version with the tables drawn and every chair left empty, no title block and no sample names. Print it and fill the chart in with a pen at the kitchen table, which is still how a lot of couples do the first draft.

Can I change table shapes after loading a template?

Everything stays editable. Add rounds, banquet tables, a head table, a sweetheart table or a kids table from the toolbar, change the seat count on any table, rename tables and rotate rectangles. A template is a head start, not a cage.
